Job Summary

We are seeking a highly skilled and customer-focused individual to join our team as a Customer Service Representative. In this role, you will serve as the primary point of contact for clients, providing exceptional service and support to ensure a positive experience.

Key Responsibilities:

  • Phone Reception: Respond to client inquiries, schedule appointments, and record messages for doctors and staff.
  • Document and address client complaints, escalating issues as necessary to the Practice Manager.
  • Practice and promote efficient and effective communication between clients, doctors, and technical staff.
  • Maintain positive working relationships between front desk and clinicians, front desk and technical staff.
  • Assist in triaging medical needs for patients by phone to manage appointment schedules.
  • Greet Clients: Check in patients, dispense medications and prescriptions, and invoice clients.
  • Checking Out Clients: Review invoices, take payment, and schedule follow-up appointments.
  • Daily cleaning tasks as assigned within the main lobby area.
  • Ensure accurate end-of-day transaction procedures, including reconciling invoices, balancing the cash drawer, and preparing deposits.
  • Keep records of customer interactions and document communication about patients into medical notes.
  • Follow communication procedures, guidelines, and policies.

Qualifications:

  • Proven customer support experience or experience as a client service representative, preferably in a veterinary setting.
  • Strong phone contact handling skills and active listening.
  • Familiarity with computers, Microsoft, internet, and other small office equipment.
  • Customer orientation and ability to adapt/respond to different types of characters.
  • Excellent communication and presentation skills.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Proficiency in math and spelling.
  • Ability to lift/push/pull 50#.
  • Compassion and empathy.

Work Schedule:

The work week is 4 days (36-40 hours). The applicant must be able to work 4-5 days weekly, Monday through Friday, with a rotating Thursday evening shift of 9a-7p. Approximately 36 hours weekly. Must have the ability to work a full shift.
