Job Overview

Key Responsibilities:
  • Deliver exceptional customer service through various communication channels, including phone, email, and in-person interactions with drivers and clients.
  • Manage the creation and modification of bookings efficiently.
  • Coordinate deliveries and pickups, including scheduling driver appointments at the terminal.
  • Assign customer bookings to the appropriate TOTE Maritime Alaska vessel.
  • Address customer inquiries regarding vessel schedules and operational requirements.
  • Inform clients about relevant policies and regulations governing shipments.
  • Conduct yard inventory reconciliations.
  • Resolve issues presented by customers and vendors.
  • Facilitate effective communication both internally and externally.
  • Address various terminal-related vehicle issues.
  • Create temporary organizations and update existing contact information.
  • Monitor and rectify all Web and EDI bookings.
  • Process customer payments when necessary.
  • Generate and audit various computer reports.
  • Engage in daily communication with other departments.
  • Provide support across the department as needed.
  • Execute accurate and efficient data entry tasks.
  • Undertake additional responsibilities as assigned.
Qualifications:
  • Preferred Associate's degree.
  • One to two years of experience in customer service or billing, ideally within the transportation sector.
  • Strong customer service abilities.
  • Excellent verbal and written communication skills.
  • Proficient math skills.
  • Effective organizational capabilities.
  • Team-oriented mindset.
  • Ability to multitask and prioritize effectively.
  • Capacity to work independently with minimal supervision.
  • Willingness to work flexible hours, including evenings and weekends as required.
  • Proficient in standard software applications, particularly Windows and MS Office Suite (Outlook, Word, PowerPoint, and Excel), as well as E-service center and E-commerce web-based applications.
