Client Relations Coordinator

Position Overview

The Client Relations Coordinator role encompasses a variety of administrative functions, including fund management, board meeting coordination, and data analysis.

Possesses the minimum necessary access to Protected Health Information (PHI) and Personally Identifiable Information (PII) as per Job Description/Role.

Key Responsibilities

Assist the Client-facing team in executing administrative tasks.


Drafts correspondence, reports, presentations, and meeting summaries for internal distribution or to clients and vendors; performs filing, editing, copying, or collating as required.

Maintains records related to the disbursement process.

Organizes meetings, activities, and events as assigned, including scheduling, catering, and preparation of meeting spaces.


Supports the Client-facing team with analysis and internal reporting to facilitate daily operations; oversees internal audit data collection, including financial, DOL, and Operational Controls Audits.

Handles administrative duties, including invoice preparation and approval, accounts payable management, filings, and applications.

Performs additional related tasks as required.

Minimum Qualifications

Demonstrated professionalism, maturity, and integrity.

Experience in a collaborative team setting.

Ability to effectively communicate and execute tasks with all organizational levels in a complex environment.

Capability to thrive in a fast-paced setting while managing multiple projects and incoming requests.


Strong decision-making and organizational abilities, with a focus on optimizing resources and managing multiple priorities.

Exceptional organizational skills with meticulous attention to detail.

Proficient time management skills, adept at prioritizing workload to meet deadlines.

Excellent verbal and written communication capabilities.

Proficiency in MS Office tools and applications.

Preferred Qualifications

Experience in an administrative capacity within communications, marketing, or client management.

Background in a healthcare setting or third-party administration.

Familiarity with Taft Hartley organizations.

Experience in Client Services, Client Management, or Customer Service.

Working Conditions/Physical Effort
