Job Overview

POSITION SUMMARY

The Administrative Operations Coordinator plays a vital role in executing various clerical functions that support the seamless operation of our Production and Facilities Departments. This position is essential for ensuring that administrative tasks are performed accurately and promptly, allowing the manufacturing team to concentrate on production and the facilities team to focus on maintenance and repairs.

KEY RESPONSIBILITIES

  • Administrative Assistance: Input and update information in company databases and software systems. Ensure data accuracy and completeness, manage filing systems, and maintain essential documentation.
  • Procurement Support: Facilitate the procurement of MRO (Maintenance, Repair, Operations) materials and services from the initial Purchase Requisition to Goods Receipt.
  • Inventory Oversight: Aid in monitoring inventory levels, processing orders, and updating inventory documentation.
  • Communication Liaison: Act as a point of contact for internal and external communications, including emails, phone calls, and other correspondence.
  • Operational Support: Collaborate with Operations personnel to address any administrative challenges that may affect manufacturing processes.

QUALIFICATIONS

· A minimum of 2 years' experience in an administrative or clerical capacity, ideally within a manufacturing setting.

· Strong organizational skills, excellent verbal communication, and the ability to multitask effectively.

· Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiar with database management systems.

· Capable of handling sensitive information with discretion.

· Skilled in identifying issues and implementing effective solutions. Strong analytical and critical thinking abilities.

· Ability to work collaboratively as part of a team and foster positive working relationships across various departments.

EDUCATIONAL REQUIREMENTS

High school diploma or equivalent; an associate degree or relevant certification in a related field is preferred.
