Job Overview

This hybrid position encompasses a wide array of responsibilities related to patient intake, care coordination, and management of medical records. Key responsibilities include welcoming and registering patients, verifying their information, overseeing electronic medical records (EMR), and ensuring the confidentiality and accuracy of patient data.

Qualifications, Education, and Experience

  1. High School Diploma or GED required.
  2. Proficiency in basic computer operations and data entry.
  3. Excellent interpersonal, communication, and organizational abilities.
  4. Previous experience in a clinical office setting is preferred.
  5. Capability to undertake various tasks with minimal supervision and independent judgment.
  6. Dedication to the mission, vision, and values of the organization.
  7. Competence in interacting with individuals from diverse cultural backgrounds.

Core Responsibilities / Essential Functions

  1. Welcome and guide patients as they arrive at the clinic, ensuring a friendly atmosphere.
  2. Conduct prompt and precise registration, check-in procedures, and notify relevant staff of patient arrivals.
  3. Assist patients in completing necessary documentation, including medical history, consent, and payment agreements.
  4. Collect and confirm patient details, such as contact information, insurance coverage, and medical history.
  5. Carry out insurance verification and input data into the EMR system.
  6. Oversee the scanning, routing, and archiving of all medical documents within the EMR system.
  7. Process requests for medical records and ensure the secure release of patient health information in accordance with organizational policies.
  8. Handle incoming calls, address patient inquiries or concerns, and direct calls to the appropriate department or medical personnel.
  9. Review and process payments for medical services, managing patient accounts to identify and collect outstanding balances.
  10. Ensure all faxes are properly reviewed, sorted, and filed, and retrieve paper charts as needed.
  11. Maintain an accurate cash drawer and manage deliveries appropriately.
  12. Adhere to HIPAA regulations and maintain strict confidentiality regarding all patient information.
  13. Perform additional duties and projects as assigned.
