Full-Time Office Assistant in Healthcare

The ideal candidate will possess strong attention to detail, be a collaborative team member, and have prior experience in a medical office setting. Responsibilities include welcoming visitors and providing outstanding customer service. As the initial point of contact, it is crucial to greet visitors in a courteous and articulate manner. Duties encompass managing phone calls, addressing visitor inquiries, and ensuring a friendly atmosphere while performing various administrative tasks as required.

Key Responsibilities:

  • Manage the switchboard by answering incoming calls and directing them appropriately.
  • Handle all phone communications and route calls to the correct departments.
  • Assist with patient, client, and employee inquiries, as well as maintain accurate records.
  • Document phone messages thoroughly and ensure timely delivery.
  • Effectively multitask by managing incoming calls, visitors, and various office tasks.
  • Oversee the collection and distribution of mail and packages.
  • Welcome all visitors and applicants, directing them as necessary.
  • Monitor office supplies, ensuring they are stocked and organized.
  • Provide support with administrative and clerical tasks as assigned.
  • Complete additional assignments as required.
  • May have access to personal health information (PHI) to perform the above duties, with access and disclosure governed by organizational policies.

  • Maintain office organization, ensuring cleanliness and readiness for meetings and events.
