Legal Operations Coordinator

Key Responsibilities

  • Oversee a portfolio of legal matters and ensure adherence to all deadlines
  • Draft and submit legal documents and correspondence to courts and opposing parties
  • Arrange and coordinate depositions, meetings, and court sessions
  • Liaise with clients, attorneys, and other stakeholders involved in the cases
  • Conduct legal research and provide assistance to attorneys as required
  • Maintain precise and current case files and databases
  • Ensure compliance with judicial rules and protocols
  • Assist with billing and other administrative duties as necessary
  • Interview potential clients via phone or in person
  • Initiate Insurance Claims
  • Open new case files
  • Gather and evaluate intake information
  • Collect all pertinent documentation
  • Conduct thorough investigations for each case
  • Maintain regular communication with clients
  • Verify insurance coverage and liaise with insurance providers
  • Manage clients' medical care
  • Clarify procedures or documentation to clients
  • Prepare documents and correspondence
  • Draft settlement demand packages
  • Communicate settlement negotiations from attorneys to clients and adjusters using demands/offers in Client Profiles
  • Gather documentation of all damages incurred, including medical records, bills, and loss of income
  • Analyze and interpret medical records and reports
  • Organize and maintain case files
  • Organize tangible damages
  • Exhibit a strong work ethic and thrive in a fast-paced environment
  • Possess excellent interpersonal skills as the role involves significant client interaction
  • Manage multiple tasks and meet deadlines effectively
  • Prioritize work and perform under pressure
  • Be well-organized and detail-oriented
  • Have familiarity with relevant laws pertaining to personal injury claims, motor vehicle incidents, and insurance
  • Demonstrate outstanding communication and writing abilities
  • Possess standard office computer skills
  • Knowledge of medical terminology and trauma-related conditions is advantageous
  • Understanding of various insurance coverage types and policies is beneficial
  • Conduct legal research to obtain documentation related to health insurance, medical records, social security, and medical providers
  • Review legal documents to ensure compliance with all legal standards
  • Organize and maintain all case files and information regarding engagement, whether electronic or paper, in accordance with the law firm's policies
  • Assist attorneys with all aspects of case management, including billing, tracking deadlines, and providing reminders as needed
  • Offer recommendations to attorneys regarding cost-effective and timely methods to achieve the client's objectives

Qualifications

  • Bachelor's degree in paralegal studies or a related field is preferred
  • Familiarity with legal terminology and procedures
  • Strong organizational and time management capabilities
  • Excellent written and verbal communication skills
  • Ability to work independently as well as collaboratively
  • Proficiency in Microsoft Office and legal case management software
  • Capacity to multitask and remain self-motivated
  • High school diploma is required; a 2-year degree and Paralegal certification are acceptable, but a Bachelor's degree is preferred
  • Exceptional organizational skills along with effective communication skills, both written and oral, are essential
  • Extensive experience in conducting legal research and drafting legal documents is crucial
  • Computer proficiency, particularly with case management software, word processing, and spreadsheet applications is necessary
