Role Overview

The Executive Assistant plays a pivotal role in supporting the CEO and the executive leadership team. This position involves managing complex global travel arrangements, overseeing calendars, organizing meetings, and facilitating board meetings. The ideal candidate will possess advanced technical skills, exceptional organizational capabilities, and the ability to handle sensitive information with the utmost confidentiality.

Key Responsibilities:

  • Efficiently manage executive calendars, including scheduling meetings and travel logistics.
  • Prioritize and coordinate meeting requests, ensuring executives are informed of their commitments.
  • Prepare meeting materials, including agendas and presentations, and ensure timely distribution of minutes and action items.
  • Organize company events, managing all logistics and vendor relations to ensure successful execution.
  • Administer board meeting logistics, including scheduling and travel arrangements.
  • Maintain records and ensure compliance with corporate governance standards.
  • Handle correspondence and prepare reports and presentations as required.
  • Oversee purchasing requests and audit expense reports for accuracy.
  • Lead and mentor a team of executive coordinators to provide cohesive support to the executive team.
  • Uphold discretion and professionalism in managing confidential information.
  • Perform additional duties as assigned to ensure the seamless operation of the executive office.

Qualifications:

  • Minimum of 5 years of experience in an executive administrative role supporting global leaders.
  • Proficient in Microsoft Office Suite and familiar with Google Suite.
  • Strong organizational and time-management skills with a keen attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to work autonomously and collaboratively within a team environment.
  • Demonstrated resilience and a positive attitude in high-pressure situations.
  • Capacity to manage multiple priorities and adapt to evolving demands.
  • Commitment to confidentiality and professionalism in all interactions.
