Role Overview

The Senior Executive Coordinator plays a crucial role in supporting the CEO and the Executive Team. This position involves managing global travel arrangements, coordinating calendars and meetings, overseeing expense management, organizing events, and facilitating board meetings. The ideal candidate will possess exceptional organizational skills, advanced computer proficiency, and the ability to handle sensitive information with the utmost confidentiality.

Key Responsibilities

  • Manage executive calendars, including scheduling meetings, appointments, and travel logistics.
  • Prioritize meeting requests and keep the CEO and executive members informed of upcoming commitments.
  • Prepare materials for meetings, such as agendas and presentations, and ensure timely distribution of minutes and action items.
  • Coordinate company events, managing logistics, invitations, and on-site execution.
  • Oversee board meeting logistics, including scheduling, travel arrangements, and accommodation coordination.
  • Maintain board records and ensure adherence to corporate governance standards.
  • Handle incoming and outgoing correspondence with professionalism.
  • Prepare reports and presentations as required.
  • Audit expense reports and credit card transactions for accuracy.
  • Mentor and guide an executive coordinator to provide cohesive support to the executive team.
  • Maintain discretion and professionalism while managing confidential information.
  • Perform additional duties as assigned by the CEO to ensure efficient office operations.

Qualifications

  • Minimum of 5 years of experience in an executive administrative role supporting global leaders.
  • Proficient in Microsoft Office Suite and familiar with Google Suite.
  • Strong organizational and time-management abilities.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and collaboratively within a team.
  • Demonstrated resilience and a positive attitude in high-pressure situations.
  • Attention to detail and accuracy in all tasks.
  • Ability to manage multiple priorities effectively.
  • Commitment to confidentiality and discretion in handling sensitive matters.
  • Willingness to work primarily in an office setting with occasional travel.
  • Flexibility to work outside standard hours when necessary.
