Job Summary

We are seeking an experienced Administrative Specialist III to join our team at King County. This role will provide administrative support to various units and workgroups within the Capital Division, focusing on project management and construction management teams.

Key Responsibilities
  • Provide calendar management and scheduling services for supervisors and unit staff
  • Attend project-related meetings, take meeting notes, and disseminate information to team members
  • Manage the unit's DocuSign approval process and support records retention activities
  • Create requisitions and track approvals within Oracle EBS to ensure timely vendor payments
  • Organize and maintain data sources, including contracts, budgets, and legal documents
  • Work collaboratively with an administrative team to provide workload support and onboarding new employees
  • Recommend process improvements and document procedures
  • Scan and file documents, ensuring the upkeep of filing systems
  • Assist with computer issues and initiate helpdesk tickets as needed
  • Support special projects as required
Requirements
  • Increasingly responsible office of administrative support experience with a group or team of professional or technical staff
  • Ability to independently manage multiple and shifting priorities while using effective analytical, interpersonal, and communication skills
  • Ability to work in a self-directed manner as well as part of a team in a fast-paced and collaborative environment
  • Ability to communicate effectively and clearly, both verbally and in writing
  • Demonstrated ability to effectively problem solve, prioritize, and apply good judgment when handling time-sensitive or highly important requests and inquiries
  • Ability to be detail-oriented, organized, and use initiative to solve problems
  • Ability to establish and maintain respectful working relationships with diverse coworkers, colleagues, and internal/external customers
  • Strong customer focus with a dedication to integrity, ethics, trust, and values
  • Basic knowledge of best practices for Records Management and/or retention policies and practices
  • Proficiency in Adobe, DocuSign, and Microsoft Office 365 Programs
Preferred Qualifications
  • Familiarity and experience with King County policies and procedures
  • Basic knowledge of Oracle Financial system or similar financial and procurement software
  • Demonstrated ability to draft, proofread, edit, compile, and finalize letters and documents
  • Experience or demonstrated skill in applying best practices to Records Management and/or retention policies and practices, especially in the public sector
  • Expertise in leveraging technology tools, including Teams and SharePoint
