Job Summary

We are seeking a highly organized and detail-oriented Medical Office Representative to join our team at Northwestern Memorial Healthcare. As a Medical Office Representative, you will be responsible for providing exceptional customer service to patients and company representatives, while also performing various administrative tasks to ensure the smooth operation of our medical practice office.

Key Responsibilities
  • Customer Service: Greet patients as they enter the office, obtain required patient information, and perform patient registration, including verifying insurance information and collecting co-pays and outstanding balances.
  • Administrative Tasks: Obtain and update patient demographic information and company information from all patients, answer phone calls and schedule appointments, direct and document patient calls as appropriate, and coordinate scheduling of outside testing for patients.
  • Communication: Serve as liaison between patient and practice, provide back-up for scheduling appointments, and perform all aspects of daily work in a manner that contributes to and ensures an environment of patient safety and confidentiality.
  • Record Keeping: Complete daily reconciliation report to assure charges have been entered correctly, pull charts and ready them for the next day appointments, file completed patient charts daily, and file test/procedure results in patient's medical record after physician has signed off on the results.
  • Compliance: Liaison with company representatives or potential employees to assure correct services are provided, review Epic chart prior to patient appointments making sure consents are within the past 12 months and the insurance card is current, and respond to all medical record requests from patients, insurance companies, physician offices, subpoenas, and legal requests per protocol.
Requirements
  • Education: High School diploma or equivalent
  • Experience: Medical office coding experience and/or previous physician office or customer service experience
