About the Role


We are seeking a highly motivated and organized Administrative Assistant to join our dynamic team at Circle of Hope Services Huntsville. The ideal candidate will possess excellent communication skills, be comfortable interacting with our leadership team in a fast-paced environment, and have prior experience in administrative support roles.

Key Responsibilities


The successful candidate will provide essential administrative support to day-to-day operations, including:

  • Office management, maintaining accurate records and files;
  • Processing incoming mail, creating and distributing documents as needed;

Additionally, they will be responsible for:

  • Greeting visitors and responding to general inquiries or forwarding calls to appropriate staff members;
  • Coordinating all incoming calls, providing relevant information to clients and referral sources when necessary;
  • Maintaining confidentiality of client medical records in accordance with state and federal laws, verifying insurance eligibility;
  • Serving as an office liaison, interfacing with referral sources, outside agencies, health professionals, and field staff;
  • Preparing correspondence, emails, thank-you letters, greeting cards, and other documents as required in support of the organization;
  • Compiling daily and weekly intake reports to track progress and identify areas for improvement.

We offer a comprehensive compensation package, including a competitive annual salary of $45,000, which takes into account the demands of the role and the local market conditions.
