Job Overview: The Administrative Operations Coordinator collaborates with the Operations team, reporting directly to the Operations Coordinator, to facilitate daily business functions and associated administrative tasks for the IRC's offices in Florida. Key responsibilities include assisting with fleet oversight, IT support, vendor management, tracking office supplies, and contributing to facility enhancements.

Major Responsibilities:

Key duties encompass, but are not limited to:

  • Assist the Operations team with fleet oversight, vendor management, and safety protocols as required.
  • Support the Operations team in managing office expenses, resolving IT issues, and maintaining office equipment inventory.
  • Collaborate with the HR Manager to aid in equipment distribution and other onboarding activities.
  • Provide coverage for front desk operations to ensure clients and stakeholders receive appropriate assistance.
  • Work closely with the Operations team to facilitate facility renovations, relocations, and related projects.
  • Assist in maintaining office supplies, processing supply requests, and managing inventory levels.
  • Perform other assigned duties as necessary.

Job Requirements:

Education: High School Diploma or equivalent is required.

Work Experience:

Minimum of two years of relevant experience is strongly preferred.

Demonstrated Skills & Competencies:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); capable of utilizing the internet and other digital tools for data entry, research, and problem-solving; familiarity with databases is advantageous.
  • Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines with precision and attention to detail.
  • Fluent in English, both written and spoken.
  • Ability to communicate effectively and collaborate with partners, community members, and clients in a diverse, multi-disciplinary environment.
  • Capable of working independently as well as part of a team.
  • Possession of a valid driver's license and access to a personal, insured vehicle.

Working Environment:

A blend of standard office settings, remote work, and field time within the service delivery area to fulfill the outlined responsibilities. Occasional domestic travel may be required, up to 10%. Weekend and/or evening work may be necessary on occasion.

Compensation:

Posted pay ranges apply to US-based candidates. Ranges are determined by various factors including labor market conditions, job type, internal equity, and budget considerations. Specific offers are adjusted based on work location, individual candidate experience, and skills relative to the defined job requirements.

US Benefits:

The IRC provides a comprehensive and competitive benefits package. All US employees are eligible for sick leave, a 403b retirement savings plan with up to 4.5% immediately vested matching contributions, plus an additional IRC contribution of 3-7%. An Employee Assistance Program is also available to support staff and their families during times of crisis and mental health challenges.

Full-time employees are entitled to 10 US paid holidays, 20-25 paid time off days, disability and life insurance, as well as medical, dental, and vision insurance (employee contributions starting at $135, $7, and $5 per month respectively) and FSA for healthcare, childcare, and commuting expenses. Part-time employees are eligible for a proportionate amount of paid time off. These additional benefits apply to employees who work at least 6 months within a 12-month period.
