Job Summary

We are seeking a highly organized and detail-oriented Receptionist/Assistant to provide exceptional support to our team at AES Management Inc.

The ideal candidate will be responsible for handling various administrative tasks, including greeting visitors, answering phone calls, scheduling appointments, and maintaining calendars.

Key Responsibilities:

  • Front Desk Operations: Greet and assist visitors in a professional manner, ensuring a positive first impression of our company.
  • Communication: Answer and direct phone calls using a multi-line phone system, responding to inquiries and providing accurate information.
  • Scheduling and Calendar Management: Schedule appointments and maintain calendars for multiple departments, ensuring seamless coordination and minimal disruptions.
  • Event Planning and Coordination: Assist with event planning and coordination, including venue selection, catering, and logistics.
  • Clerical Duties: Perform clerical duties such as filing, photocopying, and scanning documents, maintaining accurate and up-to-date records.
  • Proofreading and Transcription: Proofread documents for grammar and spelling accuracy, and transcribe notes and messages as needed.
  • Support and Collaboration: Provide support to medical or dental receptionists if required, and collaborate with other departments to ensure seamless communication and coordination.

Requirements:

  • Administrative Experience: Proven experience in an administrative role is preferred, with a strong understanding of office procedures and protocols.
  • Technical Skills: Proficiency in phone systems and office equipment operation, including MS Office suite.
  • Event Planning: Knowledge of event planning procedures is a plus, with the ability to coordinate and execute events with minimal supervision.
  • Clerical Skills: Strong clerical skills with attention to detail, including proofreading and transcription.
  • Organizational Abilities: Ability to maintain accurate and up-to-date records, and prioritize tasks to meet deadlines.
