Position Summary:

The Night Auditor at Meadowbrook Inn plays a crucial role in ensuring the seamless operation of hotel functions during overnight hours. This position involves a comprehensive understanding of hotel procedures, including operational, financial, reservation, and guest service protocols. The Night Auditor is entrusted with the safety of guests and the property, handling reservations, guest check-ins, and addressing any inquiries or issues that arise. This role also includes auditing and reconciling guest accounts and maintaining the lobby's cleanliness and appearance. Exceptional communication skills, professionalism, and the ability to manage emergencies are essential for success in this service-oriented position.

Key Responsibilities:

  • Manage incoming calls, including reservation bookings and directing inquiries appropriately.
  • Greet guests upon arrival and assist with any overnight requirements.
  • Process guest check-ins, ensuring accurate collection of contact information and confirmation of stay details.
  • Verify completion of end-of-day tasks from previous shifts.
  • Ensure wake-up calls are scheduled as requested.
  • Balance cash drawers and verify that all transactions from prior shifts are accounted for.
  • Conduct inventory audits for Front Desk beverages.
  • Review and audit all guest accounts, ensuring all charges are accurate and authorized.
  • Confirm the correctness of issued credits and document reasons in the audit report.
  • Monitor the Property Management System for discrepancies and rectify as necessary.
  • Review cancellations and new bookings from the past 24 hours, noting any irregularities.
  • Prepare room assignments, keys, and registration cards for upcoming arrivals.
  • Communicate any special requests for the next day's guests to the following shift.
  • Ensure all registration cards are correctly processed in the system.
  • Handle No Show processes accurately and document in the audit report.
  • Conduct the Night Audit and generate End of Day Reports, following the established checklist.
  • Perform regular property walks to identify any security or maintenance issues.
  • Provide guests with local information, dining recommendations, and other concierge services.
  • Facilitate guest check-outs, ensuring accurate payment processing.
  • Address guest concerns promptly and professionally, escalating urgent issues to management as needed.
  • Maintain sanitation protocols for keys, workstations, and common areas.
  • Complete additional tasks as assigned, with the understanding that responsibilities may evolve.

Qualifications:

  • Familiarity with local attractions, dining options, and shopping venues.
  • Strong verbal and written communication abilities.
  • Proficient in basic math and accounting principles.
  • Exceptional customer service and interpersonal skills.

Education and Experience:

  • Preferred experience of at least one year in a Night Auditor or similar role.

Physical Requirements:

  • Ability to stand for extended periods at the front desk.
  • Capability to assist guests with luggage and navigate stairs.
  • Ability to walk throughout the property.
  • Physical ability to twist, bend, and reach as needed.
  • Must be able to lift items weighing up to 25 pounds.
