Job Overview

The Financial Operations Coordinator serves as the primary financial resource for the oversight of extensive interdisciplinary research initiatives, grants, and contracts involving faculty and staff within the Commonwealth of Virginia. This role is essential in collaborating with principal investigators and their teams to ensure the development and submission of high-quality, comprehensive, and compliant proposals.

In addition, this position will act as a liaison with pre- and post-award personnel in the Office of Sponsored Programs to streamline award management. Responsibilities include managing the Center's financial resources, which encompass educational and general funding, salary savings, and allocation of award funds to personnel. Key tasks involve monitoring expenditure to ensure compliance with allowable, allocable, and reasonable charges; budget forecasting; tracking income and expenses; processing purchases and reimbursements; and preparing annual reports for funders.

Key Responsibilities:

1. Multitasking Proficiency: The Financial Operations Coordinator must effectively manage multiple high-priority tasks in a dynamic environment. While certain financial management tasks follow a set schedule, the role often requires handling special projects with tight deadlines, necessitating strong prioritization skills.

2. Data Management and Analysis: The coordinator will handle diverse funding sources, including significant federal awards and private grants. Proficiency in financial management systems and the ability to analyze and summarize data for clear communication is crucial for success.

3. Effective Communication: Acting as the primary point of contact for collaborators, the Financial Operations Coordinator represents the Center. This role requires maintaining open communication with various departments and organizations through emails, reports, proposals, and presentations.

4. Adaptability and Problem-Solving: The coordinator must demonstrate flexibility and creativity in addressing challenges that arise in a fast-paced environment. A proactive approach to identifying solutions while considering the broader context of funding and project timelines is essential.

5. Daily Problem-Solving: The Financial Operations Coordinator supports the Center's leadership by providing practical solutions to operational challenges that occur regularly.

Required Qualifications:

A Bachelor's degree in accounting, business, or a related field, with demonstrated expertise in budgeting and financial management.

Strong communication skills, both written and verbal.

Excellent organizational abilities, with the capacity to work under pressure and meet multiple deadlines.

Ability to interpret and apply relevant policies and procedures in collaboration with external partners.

Proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications:

Certification as a Research Administrator (CRA) is advantageous.

Experience with proposal submissions and federal funding agency policies.

Familiarity with higher education funding processes and management tools.
