Job Overview

The role of the Property Management Assistant is tailored to equip individuals with the necessary skills for a future position as a Business Manager. This position requires the Assistant to take on increased responsibilities as they gain knowledge in all facets of property management while demonstrating maturity and sound judgment. The Assistant serves as the primary point of contact for the property in the absence of the Business Manager and acts as a role model for colleagues.


Key Responsibilities:

  • Collaborates closely with the Business Manager to learn comprehensive management duties, including administrative and financial tasks.
  • Takes charge of supervising staff and managing property operations when the Business Manager is unavailable.
  • Works alongside the Business Manager to cultivate a cohesive team that effectively promotes the quality and professionalism of Tarragon Property Services.
  • Regularly inspects common areas, apartment units, and grounds, providing recommendations for enhancing community operations.
  • Understands and adheres to financial and operational reporting standards.
  • Handles the collection and posting of rent payments from current and past residents, including deposits and move-in fees.
  • Processes daily community deposits related to rent collections and other income.
  • Codes and manages community invoices in Avid, assisting in tracking and recording paid invoices in administrative logs.
  • Issues non-payment notices to delinquent residents and follows up on rent arrears or eviction processes.
  • Maintains a working knowledge of state laws regarding the collection of overdue accounts.
  • Records daily resident information concerning walk-ins, move-ins, move-outs, and apartment conditions, ensuring accurate resident file maintenance.
  • Assists the manager in ensuring all leases and addendums are accurately completed.
  • Contributes to marketing initiatives, providing insights and suggestions for promotions and rate adjustments.
  • Participates in various leasing activities as needed, staying informed about market trends and competitive properties.
  • Supports the Manager with the renewal process for existing residents.
  • Evaluates issues related to apartments that are slow to lease and provides recommendations.
  • Gains the respect of leasing staff and maintenance teams through effective leadership and exemplary conduct.
  • Assists in addressing resident service requests and concerns as necessary.
  • Conducts follow-up communications with new and current residents to foster positive relationships.
  • Represents the company professionally at all times.
  • Maintains a courteous and professional demeanor when interacting with residents, colleagues, and the public.
  • Ensures compliance with renters insurance requirements.
  • Utilizes Yardi E-Learning for ongoing training and development.

Qualifications:

  • A high school diploma or equivalent is mandatory.
  • Strong communication, organizational, and leadership abilities are essential.
  • A valid driver's license, a clean driving record, and auto insurance are required.
  • Proficiency in computer skills, including Word and Excel, along with familiarity with property management software is preferred.
  • Experience with Yardi Voyager software is highly desirable but not essential.
  • A background in business, hospitality, or property management is advantageous.

  • Detail-oriented with a strong organizational passion, capable of managing multiple tasks simultaneously while meeting deadlines.
  • Ability to work independently and exercise good judgment when seeking assistance or guidance.
  • Professional interaction skills with employees, tenants, owners, customers, and vendors.
  • Strong written and verbal communication skills, including the ability to present numerical data effectively.
  • Ability to communicate clearly and persuasively in various situations, actively listening and seeking clarification when needed.
  • Adaptability to change, with the ability to handle unexpected events and delays.
  • Follows instructions and responds positively to management direction, taking responsibility for actions and task completion.
  • A team player who readily volunteers for additional responsibilities and offers assistance when needed.
  • Fluency in reading, writing, and speaking English is required.
