Job Summary

We are seeking a highly skilled and experienced Office Manager to join our team at the University of North Carolina at Charlotte. The successful candidate will be responsible for overseeing the day-to-day operations of our office, ensuring the smooth execution of administrative tasks, and providing exceptional support to our staff and students.

Key Responsibilities
  • Manage and reconcile multiple budgets, ensuring accurate financial reporting and compliance with university policies.
  • Develop and track budget projections for supplies, travel, and wages, providing data-driven insights to inform business decisions.
  • Support all business transactions, including procurement, accounts payable, and accounts receivable.
  • Coordinate and own the Federal Work Study verification process, working closely with Undergraduate Education partners and Financial Aid representatives.
  • Organize and maintain all employee records, ensuring compliance with university policies and procedures.
  • Oversee and coordinate inventory controls and staffing needs at all UCAE locations, ensuring efficient operations and effective resource allocation.
  • Assist with the planning, implementation, and evaluation of UCAE events, providing exceptional support to our staff and students.
  • Make independent decisions on office procedures, handle departmental situations, and create ad hoc reports and process flows.
  • Assist in the preparation, data management, composition, editing, drafting, and proofreading of the Annual Report, Business Continuity Plan, and other UCAE reports.
Requirements
  • Bachelor's degree or equivalent combination of training and experience.
  • Three years of progressively responsible administrative/office management experience supporting management at a college, university, or corporate environment.
  • 2-5 years of experience in purchasing and/or managing a budget.
  • Advanced working knowledge of Microsoft Office Suite and Google Workplace products.
  • Demonstrated experience with Banner Finance, Banner Student, 49er Mart, EAB Navigate, NinerWorks, Malibu, and Word Press or equivalent software.
  • Ability to adapt by exploring and adopting new and emerging technologies.
  • Excellent written and verbal communication skills.
  • Demonstrate teamwork by working cooperatively with others and contributing to group solutions.
