About the Role

As a Copier/Printer Operator: Area Support I Rep, you will be responsible for delivering high-quality customer service and support to our clients. This role requires flexibility and adaptability to provide coverage at multiple sites throughout the region.

Your Impact

• Promptly inform your supervisor of potential problems or customer concerns.
• Review and respond to management and client requests via various communication channels.
• Focus on providing excellent customer service and ensuring customer satisfaction.
• Contribute to the creation of the Site Procedure Guide to ensure all account processes are properly recorded.
• Perform a variety of tasks, including copy/print production, copier maintenance, mail/courier services, reception/office services, shipping/receiving, inventory services, and file room/records file services, based on assigned location.
• Attend cross-functional trainings to ensure ability to provide coverage when short-staffed.
• Provide site coverage as needed, requiring flexibility to change schedule/location at a moment's notice.
• Collaborate with multiple account teams to ensure a smooth transition of responsibility with minimal impact to client services.

Responsibilities

Copy/Print Production/Copy Center:
• Responsible for prompt and accurate reproduction of all print requests.
• Review electronic files for print readiness, print documents, punch, bind, assemble, sort, laminate, and perform pre-delivery quality control checks.
• Receive, log, deliver, and track all activity for reporting purposes.
• Respond to customer requests.
• Perform routine upkeep and basic maintenance of equipment.
• Record and track customer inquiries and fulfillment of requests.
• Perform daily convenience care functions as needed.

Mail/Courier Services:
• Responsible for prompt and accurate receiving, sorting, delivery, pickup, and processing of all courier items, interoffice mail, newspapers, magazines, and all classes of United States Postal Services mail.
• Track courier and accountable items (FedEx, UPS, Certified Mail, etc.).
• Research and route unidentified and generic mail.
• Receive, log, deliver, and track messenger items.
• Respond to customer requests.
• Perform routine upkeep of equipment.
• Record and track customer inquiries and fulfillment of requests.

Reception/Office Services:
• Responsible for performing general front office reception duties, such as greeting visitors, answering phone calls, taking messages, scheduling conference rooms, and entering data into the computer.
• Respond to customer needs and requests, accept deliveries, and set up food and beverages for meetings.
• May also be responsible for copy/binding/copier maintenance.

File Room/Records File Services:
• Ensure all filing assignments from the current and previous day have been filed.
• Create, maintain, update, and monitor files, file database, and file rooms.
• Coordinate special projects and other functions assigned by client contact and Site Manager.
• Ensure all file rooms are intact at all times.

Device Maintenance:
• Responsible for customer satisfaction through the performance and maintenance of reprographic equipment at customer locations.
• Follow daily, established maintenance processes and procedures.
• Maintain routine upkeep of equipment, including cleaning glass and surfaces, clearing paper jams, replenishing toner, and loading paper.
• Evaluate equipment issues and notify the service department if unable to resolve.
• Deliver paper.
• Assist end-users in basic functionality of equipment.
• Record meter reads.
• Maintain service activity reports.
• Monitor supplies and restock inventory.

Shipping/Receiving:
• Responsible for shipping and receiving incoming and outgoing packages, materials, parts, or products and verifying and maintaining records of all shipments.
• Receive shipments and count pieces, retain shipment paperwork, follow delivery schedule for incoming shipments, and secure customer signatures.
• Responsible for operating shipping/receiving equipment, responding to customer requests, data entry, and maintaining inventory.

Inventory Services:
• Process and monitor all inventory movement within assigned responsibilities, locations, and organizations.
• Analyze ongoing activity of inventory.
• Assist in identifying slow-moving and obsolete inventory or when inventory levels are low.
• Monitor and communicate status of inventory.
• Initiate, conduct, and report on Physical Inventories.

About You: The Skills & Expertise You Bring

• Note: This is a customer-facing role, and requires compliance with customer policies and protocols, which may include COVID-19 vaccination and other measures relating to COVID-19.
• High School Diploma, GED, or equivalent experience required, plus less than one year of related experience.
• Basic computer skills/technical knowledge.
• Ability to multitask and prioritize in order to meet deadlines.
• Good customer service and communication skills.
• Must be willing to learn new skills and interact with new teams on a regular basis.
• Ability to work with minimal supervision.
• Ability to work OT as needed.
• Required to take all necessary steps to obtain security and/or other clearances required by customers to enter the customers' premises.
• May require driving between multiple client locations, may also require a personal vehicle (valid driver's license and acceptable driving record necessary).
• Ability to lift up to 50lbs.
• Ability to spend extended periods of time standing, bending, walking, reaching, and pulling while performing duties.
