Job Description

Portnoff Law Associates, Ltd. is a law firm that specializes in the collection of unpaid real estate taxes and municipal utility fees. We are seeking a highly skilled Data and Mail Operations Specialist to join our team.

The successful candidate will be responsible for collecting, updating, and analyzing various database inventories. They will also be required to produce and prepare letters via mail merge. Additionally, they will support the Data Analysis department as needed.

The ideal candidate will have a strong technical background, excellent verbal and written communication skills, and the ability to work independently. They will also be able to build and cultivate relationships, prioritize tasks, and meet deadlines.

Key Responsibilities

  • Review and edit client data to prepare for electronic import into database.
  • Conduct mail merges in order to prepare certified and first class mail notices of delinquency
  • Support Data Analysts in tracking, coordinating and uploading incoming client data files
  • Assist in reviewing data for inconsistencies or anomalies.
  • Research property owner information and update, import and export records as needed
  • Gather information regarding third-party sales scheduled, obtain results of said sales, an update all related information in database.
  • Assist in process of weekly remittance of funds to clients.
  • Other duties as assigned.

Requirements

  • Associates Degree with a major in field related to computer science, accounting mathematics and/or communications. Bachelor's Degree (B.A./B.S.) from an accredited institution preferred.

  • Ability to work on an issue independently
  • Ability to build and cultivate relationships
  • Ability to work additional hours, including overtime on occasion, until work for day is complete
  • Ability to organize and handle multiple priorities, remain flexible, complete projects on time
  • A willingness to learn new things and the demonstrated ability to implement/execute quickly
  • Dependable with strong work ethic and personal integrity
  • Ability to learn and navigate software applications
