Job Summary

The Administrative Assistant will provide face-to-face communications with vendors, visitors, and employees while offering clerical assistance to the Human Resources department. This role involves compiling and maintaining records, handling basic data entry, and assisting the HR Manager with daily functions, company events, or activities.

Key Responsibilities
  • Answer the switchboard and connect callers to the correct extension or department, and page as necessary.
  • Sort, distribute, and process incoming and outgoing mail.
  • Prepare the lobby area for the day, unlock main entrance doors, and maintain production and office bulletin boards.
  • Greet visitors, maintain the visitor logbook, and distribute entry badges to visitors/vendors while notifying the appropriate company personnel of visitor(s) arrival.
  • Perform general office duties such as filing, copying, faxing, and monitoring and maintaining office and company-distributed supplies.
  • Provide administrative assistance to Human Resources and other departments as required, including auditing, alphabetizing, shredding, and/or sorting documents and files.
  • Support the onboarding process by creating new employee files, coordinating safety shoe vouchers, and collecting paperwork.
  • Print, prepare, distribute, track, and maintain employee timecards for payroll on a weekly basis.
  • Send necessary payroll documentation to corporate accountants once payroll is processed.
  • Collaborate with staff members on logging data and information for various reports.
Requirements
  • Bachelor's Degree in a related discipline is preferred.
  • Minimum of two years experience in a related field/environment.
  • Strong communication, analytical abilities, and organization skills.
  • General knowledge of Adobe applications, Microsoft Office (Excel) and Lotus Notes.
  • Bilingual (English/Spanish) is preferred.
