Job Summary

The Medical Administrative Coordinator plays a vital role in supporting our Interdisciplinary team by providing exceptional scheduling and appointment management services. This individual will work closely with team clinicians, patients, and external referrals to ensure seamless coordination and excellent customer service.

Key Responsibilities
  • Schedule and confirm patient appointments, surgeries, and medical consultations with specialists in a timely and efficient manner.
  • Attend team meetings and participate in the coordination of patient care, ensuring effective communication and collaboration.
  • Function as the Transportation Driver Designee and communicate transportation needs and changes to the Transportation Liaisons.
  • Maintain the master weekly appointment schedule and communicate appointments with participants, caregivers, and staff.
  • Track receipt of returned office notes, test results, hospital documents, and other pertinent documentation in the electronic medical record.
  • Run reports in EMR to ensure tasks and office notes are completed in a timely manner.
  • Maintain current and inactive participants' charts as directed.
  • Develop and maintain relationships with transportation providers and outside specialty offices.
  • Work directly with transportation vendors to schedule rides to/from the ADH and outside medical appointments based on safety and efficiency.
  • Conduct transportation quarterly audits to ensure compliance with CMS for successful surveys.
  • Participate in Element Care Committees, as required, and communicate relative information back to the team.
  • Perform various clerical and administrative functions, such as ordering and maintaining an inventory of supplies.
  • Verify demographic and insurance information with hospitals/specialty offices and make changes as necessary.
  • Bring organization and sense of calm to chaotic situations, maintaining standards.
  • Ability to pass a fit test, with a mask seal critical, and no facial hair interfering with the respirator seal.
Requirements
  • High school degree or equivalent.
  • Two years of experience as a Secretary; experience as a Medical Secretary preferred.
  • Certified in Medical Terminology preferred.
  • Electronic Medical Record experience preferred.
  • Strong written and verbal communication skills.
  • Ability to multi-task efficiently and effectively in a high-pressure environment.
  • Organizational skills, problem-solving skills, and ability to prioritize work.
  • Possesses a strong commitment to team environment dynamics with the ability to work independently.
  • Personally responsible to complete work in a timely and consistent manner.
  • Strong computer skills.
  • Covid vaccine required.
