Job Summary

We are seeking a highly skilled Payroll Specialist/Analyst to join our team at The Carmelite System Inc.

Key Responsibilities
  • Payroll Processing
    • Assist with payroll processing tasks on a bi-weekly/monthly basis.
    • Ensure all payroll transactions are processed accurately and efficiently.
    • Meet strict deadlines for payroll processing, reconciliation, and data entry.
  • Compliance and Reporting
    • Stay up-to-date with federal, state, and local payroll laws, ensuring all legal requirements are met.
    • Review payroll tax returns, including W-2s, 1099s, and other required documentation.
    • Ensure compliance with nonprofit-specific financial and accounting regulations.
  • Audit and Efficiency
    • Assist with internal audits of bi-weekly/quarterly/annual payroll-related data and reports.
    • Collaborate with other team members to increase audit efficiency.
    • Assist in reviewing and documenting current payroll/timekeeping processes.
  • Records Management
    • Maintain accurate payroll records for all employees.
    • Ensure proper documentation of employee benefits, leave balances, and salary adjustments.
    • Prepare check requests for garnishments, benefits deductions, and reconciliation of all related employee and balance sheet accounts related to deductions.
Requirements
  • Bachelor's degree in Accounting, Finance, or Data Analytics.
  • 2+ years of experience with payroll/timekeeping software (e.g., ADP, Workday, UKG, Ultipro).
  • Proficiency in Microsoft Office products (Outlook, Word, PowerPoint, Teams).
  • Intermediate to Advanced Microsoft Excel skills.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong communication skills, both written and verbal.
Preferred Qualifications
  • Experience with UKG-related payroll software.
  • Non-profit or nursing home experience.
