The Administrative Coordinator plays a crucial role in supporting the Office and Operations Manager with minimal oversight. This position is essential in upholding the company's mission, policies, and procedures while demonstrating a strong commitment to excellence and teamwork. The ideal candidate will possess the ability to prioritize tasks, manage sensitive information discreetly, and adhere to deadlines. A successful candidate will be innovative, dedicated, and capable of exercising independent judgment to manage a diverse workload.

KEY RESPONSIBILITIES
  • Collaborate with Estimators to develop RFP schedules, conduct research, organize content, and prepare bids for submission.
  • Ensure proposals align with objectives and monitor task completion.
  • Handle incoming phone calls; direct inquiries and take messages to assist Managers.
  • Manage and maintain inventory of office and field supplies, including PPE.
  • Support onboarding processes and new hire training, including paperwork processing, background checks, and physicals.
  • Oversee compliance tracking for Driver and Health and Safety documentation.
  • Request Certificates of Insurance and Bonds for the business unit.
  • Organize and maintain all Project Files, including folder creation.
  • Complete applications and renewals for Business Licenses for the Business Unit.
  • Update job files and employee certifications in SharePoint.
  • Manage UPS/FedEx accounts and coordinate package shipments.
  • Perform additional duties and projects as assigned.
QUALIFICATIONS AND SKILLS
  • Proficient in MS Word, Excel, PowerPoint, and capable of learning other software and database systems used by the company.
  • Ability to work independently and efficiently.
  • Detail-oriented with a strong sense of accountability.
  • Capable of following through on tasks with minimal supervision.
  • A collaborative team player.
  • Willingness to take on new challenges as needed.
  • Positive attitude towards overcoming obstacles.
