Job Summary:


• This role involves close collaboration with the Director and Education Program Specialists to create, develop, and execute efficient systems for professional development and team operations.

• Occasional travel within the state may be necessary for this position.

The Arizona Department of Education operates in a hybrid work model, allowing for up to two days of remote work, depending on business requirements. Candidates should be prepared to work in-office as needed.

Key Responsibilities:


• Organize and schedule team meetings, interviews, work-group sessions, and training events using Outlook and various virtual platforms as required.

• Gather, organize, and monitor meeting notes, surveys, and relevant data.

• Facilitate professional learning events (both in-person and online) through Arizona's Professional Learning Registration System, ensuring proper registration and addressing any challenges that arise.

• Prepare necessary materials, including form development, supply orders, and training packets, while providing technical support for virtual learning.

• Assist with travel arrangements, procurement requisitions, and budget monitoring, while ensuring compliance with policies and procedures.

• Maintain and update files, records, databases, and websites related to various educational initiatives.

• Support the preparation and editing of proposals, reports, and other documents, ensuring accessibility and clarity.

• Manage correspondence and provide customer service for routine inquiries from various stakeholders.

Required Knowledge, Skills & Abilities:


• Strong understanding of database management and workflow coordination.

• Proficient in English grammar and punctuation.

• Familiarity with event planning and professional learning procedures.

• Competence in general administrative office practices and travel policies.

• Excellent planning, analytical, and coordination skills, with the ability to prioritize multiple tasks.

• Experience in data collection and reporting to evaluate effectiveness and suggest improvements.

• Strong written communication skills for creating professional documents.

• Exceptional customer service and interpersonal abilities.

• Effective problem-solving and decision-making skills.

• Proficient in Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, SharePoint, etc.).

• Ability to work independently and collaboratively with diverse teams.
