Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Imsaz. The successful candidate will provide administrative support to our corporate office, ensuring seamless day-to-day operations and contributing to the overall success of our organization.

Key Responsibilities
  • Front Desk Operations
    • Greets guests and visitors, ensuring a positive first impression of our company.
    • Coordinates meeting arrangements, including scheduling conference rooms and arranging for necessary equipment and supplies.
  • Administrative Support
    • Assists departments with document preparation, staff activities, and other tasks as needed.
    • Coordinates office moves and layout planning, working closely with IT to ensure a smooth transition.
  • Communication and Correspondence
    • Handles all incoming and outgoing mail, ensuring timely distribution to staff and departments.
    • Assists with shipping and receiving packages, ensuring accurate routing and follow-up with clinic leadership as needed.
  • Office Maintenance and Supplies
    • Monitors office supplies and breakroom inventory, ordering new supplies as needed and restocking ordered items.
    • Responsible for Amazon account maintenance and ensures a well-stocked office environment.
  • Special Projects and Events
    • Assists with corporate office special projects, including event planning and coordination.
    • Responsible for the development, planning, and execution of office events, including support for corporate staff meetings.
Requirements
  • Education
    • High School diploma or equivalent required.
    • Prior experience as an Administrative Assistant preferred.
  • Skills
    • Excellent customer service and communication skills.
    • Ability to plan, coordinate, and organize administrative tasks and workflow.
    • Excellent organizational skills and attention to detail.
    • Computer skills using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
