Health Information Supervisor

The Health Information Supervisor will oversee the processing and management of patient health information, ensuring compliance with state and federal regulations and HIPAA standards. This role involves creating and maintaining accurate and secure patient records, conducting audits, and providing oversight of records releases.
Key Responsibilities- Conduct routine medical record-keeping operations and healthcare information management to ensure secure, accurate, and reliable patient information management.
- Prepare for and participate in audits and inspections to ensure compliance with required standards.
- Work closely with administration, vendors, and staff to support patient requests for records and outside entities.
- Collaborate with other departments, such as billing, compliance, IT, and clinical departments, to ensure seamless integration and use of health information.
- Follow established policies and procedures to ensure effective and compliant record management and make suggestions for process improvements.
- Assist in implementing digital technologies and tools to gain efficiency, facilitate record retrieval, and ensure secure storage.
- Provide oversight and facilitate the retrieval, collection, and requests for medical records made by staff, patients, and affiliates.
- Monitor, facilitate, and track all records requests, releases, and authorizations within the Electronic Medical Record.
- Verify legitimacy, accuracy, and authority of all such requests and process and invoice as appropriate.
- Abide by, adhere to, and conform to all applicable organizational, local, state, federal regulations.
- Review, develop, and implement standards and procedures for processing medical records with administrative support.
- Maintain an up-to-date understanding of applicable policies, processes, laws, and regulations relative to the processing of patient health information (PHI).
- Report breaches, instances of non-compliance, patient complaints, problems, or similar instances to supervisor to protect patient health information.
- Assist patients, staff, and affiliates with medical records requests and questions.
- Facilitate the process of establishing records for all new patients for Primary Health Solutions.
- Participate in improving the quality of the Health Information program and processes for the benefit of the organization.
- Associate degree or a similarly accredited program in Health Information Technology required.
- Registered Health Information Technician (RHIT) or the Certified Electronic Health Records Specialist (CEHRS) required.
- At least 5 years of experience in a medical office setting.
- 2 years of leadership experience preferred.
- Strong data entry skills.
- Excellent verbal and written communication skills.
- Advanced organization skills.
- Attention to detail to ensure accuracy.
- Familiarity with medical terminology.
- Basic computer skills to scan, organize, and access electronic health records.
- Able to work independently and possess strong time management skills.
- Excellent problem-solving skills.
