The YMCA of Metropolitan Chicago is seeking a highly skilled and detail-oriented Regional Eligibility and Enrollment Coordinator to join our team. As a key member of our staff, you will play a critical role in facilitating the recruitment and enrollment of youth in our afterschool, camp, and enrichment programs.

Key Responsibilities:
  • Assist Program Directors with recruitment efforts, including distribution of promotional materials and attending parent/family engagement events
  • Complete childcare eligibility applications and re-determinations with parent applicants, determining eligibility and collecting co-payments
  • Distribute enrollment packets and parent handbooks to families, ensuring comprehensive completion of the enrollment packet and enrolling participants in the program
  • Maintain file/spreadsheet to ensure timely re-determination and submission of eligibility, sending notices to parents 30 days prior to eligibility expiration
  • Develop and maintain eligibility files on all enrolled families
  • Complete childcare billing monthly, reporting on unbilled children/days of service and resolving all unbilled issues
  • Follow up with parents/guardians regarding collection of co-payments and fees, entering and maintaining co-payment data on tracking spreadsheet
  • Manage partnerships with CCR&R agencies to ensure submissions are reviewed and our families receive clear guidance
  • Participate in all audits and ensure documentation is always audit-ready
  • Assist with parent/family communication and ensure the registration process is seamless
Requirements and Qualifications:
  • Minimum of an Associate's Degree in Business Administration, Management, Accounting principles, or equivalent work/education experience
  • Able to travel locally throughout the Chicagoland area to assigned locations
  • Must be bilingual in English and Spanish
  • Knowledge and experience in eligibility standards for a childcare program
  • Administrative experience is a must
  • Ability to organize and prioritize multiple tasks, competing for priorities to maximize personal and team effectiveness
  • Demonstrated interpersonal skills to effectively build and maintain relationships with members, team members, and other stakeholders and constituents
  • Demonstrated customer service skills and skilled in problem-solving and complaint resolution
  • Proficiency in Microsoft Office (e.g. Word, Excel), email, video conferencing; ability to learn and adapt to new technology
  • Outstanding written/verbal communications with the ability to adapt the message to an audience

Child Abuse Prevention:
  • Reporting any items that may provide a health or safety hazard to staff, members, or guests to your supervisor
  • Following all policies and procedures related to keeping children safe in our facilities and programs, including those related to the monitoring and supervision of children
  • Reporting any suspicious behavior and violation of policy and procedures to your supervisor
  • Completing all child abuse prevention training as required
