About the Role

The Project Administrator is a key member of our team, responsible for providing financial administration, contract management support, and coordination for assigned construction and renovation projects. This is a hybrid role that requires a unique blend of skills and experience.

Key Responsibilities
  • Prepare monthly draw packages, including compiling invoices and subcontractor pay applications for payment, inventory reconciliations, and retainage tracking.
  • Generate Delivery Orders/Progress billing sheets and record all payables for the project in Timberline Accounting Program.
  • Research vendor/contractor discrepancies and perform Service Agreement administrative functions, including initial preparation of Service Agreements, SA Change Orders, and reconciliation of all SA's.
  • Ensure the validity of insurances, compliance with subcontractor documentation requirements, perform due diligence follow-ups, and maintain logs.
  • Check SCO/SA Logs and general correspondence for accuracy before submission to the supervisor.
  • Check all Certified Payroll and Daily logs, perform quarterly subcontractor Certified Payroll audits, and provide administrative support to the management team and base team members.
  • Manage base badge logs, help administer the base badge system, and track contractor hours, gas, and mileage logs of vehicles.
  • Maintain and update all electronic storage, including Procore and SharePoint websites, and manage original unit paper documents and scans to electronic files.
  • Assist in auditing the project closeout, ensuring all documents are scanned, boxed, inventoried, and shipped to the corporate office or as otherwise directed.
Requirements
  • High school diploma or GED required; Associates degree is preferred.
  • Minimum of 2 years of administrative experience in a construction office environment or a comparable combination of education and experience.
  • Proficiency in Microsoft Office products with excellent Excel and Word skills.
  • Strong communication and customer service skills, and attention to detail.
  • A working knowledge of Timberline and Procore is preferred, but not required.
  • OSHA 10 Hour Outreach Training Course within 45 days of hire.
