General Overview

Responsible for performing routine clerical tasks in various areas such as bookkeeping, inventory management, statistics, human resources, and procurement. Duties include compiling and organizing data, verifying document accuracy, transporting paperwork, and maintaining filing systems. This position operates under moderate supervision with some latitude for independent judgment.

Key Responsibilities

1. Generate and proofread correspondence, reports, purchase orders, summaries, manuals, vouchers, records, and other related documents.

2. Respond to inquiries regarding policies and procedures, assist the public and staff in completing forms, and provide information via mail or phone.

3. Update agency records and modify forms or documents as necessary.

4. Assemble, organize, and analyze data, performing basic arithmetic calculations; may create charts, graphs, and tables.

5. File and maintain forms, records, and reports systematically.

6. Open and distribute incoming mail and prepare outgoing mail.

7. Conduct data entry and retrieval tasks.

8. May receive shipments and supplies, inspect for damage, and verify quality and quantity.

9. May manage office schedules and appointments, providing notifications as needed.

10. May perform backup receptionist duties or operate the telephone switchboard.

11. May handle payments, ensuring accountability and forwarding to the appropriate agency staff.

12. May assist in balancing accounts by running tapes and proofreading documents.

13. May prepare summaries of balances and cost information, generating other reports as required.

14. May administer employment assessments.

15. May coordinate the scheduling, transfer, and display of surplus property.

16. May receive and count cash.

17. Perform related duties as assigned.

Education and Experience

High school graduation or equivalent (GED) is required.

One (1) year of experience in clerical work is necessary.

Certificates, Licenses, and Registration:

Must possess a valid Texas motor vehicle operator's license.

Must be eligible for insurance coverage by the County's insurance provider.

Knowledge, Skills, and Abilities

Familiarity with business terminology, office procedures, and proficiency in spelling, punctuation, grammar, and arithmetic.

Proficient in using personal computers and office equipment, including MS Word and Excel.

Ability to maintain detailed records, files, and reports accurately; to type at a speed consistent with job requirements; and to transfer stock as needed.
