Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Assurance Support Services Agency. As the face of our company, you will be responsible for providing exceptional customer service, managing phone calls and email correspondence, and performing various administrative tasks.

Key Responsibilities
  • Manage phone calls and email correspondence in a professional and timely manner

  • Provide administrative support to clerical staff as needed, ensuring seamless day-to-day operations

  • Track inventory of office supplies and place orders when necessary, maintaining a well-stocked and organized workspace

  • Organize and schedule meetings for Transition Coordinators, ensuring efficient use of time and resources

  • Coordinate travel arrangements, including booking flights and hotels, and making necessary travel arrangements

  • Take minutes at office meetings, ensuring accurate and timely recording of important discussions and decisions

  • Provide biweekly and monthly reports, highlighting key metrics and trends

  • Establish and maintain effective work relationships with new and existing members, providing exceptional customer service and support

  • Welcome clients and guests who call or visit the office with polish and professionalism, ensuring a positive and welcoming experience

  • Ensure the reception area looks fantastic, plan and set up for events and conference rooms, and maintain a clean and organized workspace

  • Fulfill requests with a flexible and resourceful mindset, prioritizing tasks and managing competing priorities in a fast-paced environment

  • Receive and file time sheets, ensuring accurate and timely processing of payroll and benefits

  • Send reminders for timesheets and meetings, ensuring timely follow-up and follow-through

  • Update members on their status in the transition process, providing clear and concise communication

  • Coordinate the housing process for all members in the pipeline, ensuring seamless and efficient transition

  • Enter notes into the Benefits Utilization Systems (BUS), maintaining accurate and up-to-date records

  • Record and track billable units to provide the billing department, ensuring accurate and timely invoicing

  • Provide accurate reports on a biweekly and monthly time frame, highlighting key metrics and trends

  • Enthusiastically manage multiple competing priorities at one time in a fast-paced environment and a wide variety of personalities

  • Handle a wide variety of tasks with excellent organization, planning, and follow-up skills, prioritizing tasks and managing competing priorities

Requirements
  • Administrative experience 1 year (Preferred)

  • Customer service 2 years (Preferred)

  • Proficient knowledge of MS Office and Excel
