Position Overview

Reporting to the Admissions Manager, the Patient Admissions Coordinator leverages clinical expertise to evaluate individuals who may require mental health services.

Key Responsibilities

Initial Patient Assessment and Care Coordination:

  • Conduct comprehensive psychiatric evaluations.
  • Secure initial authorizations as necessary.
  • Collaborate with physicians and healthcare professionals to ensure effective execution of patient care plans.
  • Communicate treatment recommendations from physicians, which may involve coordinating community services, follow-up care, and patient education.
  • Ensure the medical record is complete and accurate.
  • Report patient outcomes to management.
  • Assist with Social Work services on inpatient units as required.

Quality Improvement Participation:

  • Compile and analyze data to produce reports that accurately reflect utilization trends and patterns.

Patient Registration:

  • Gather demographic, physician, and insurance information in line with departmental policies.
  • Interview patients and collect collateral information via phone for pre-admission or admission.
  • Accurately enter patient information into the Hospital financial system.
  • Update the system after validating new patient financial information.
  • Pre-certify with insurance carriers to maximize coverage based on the insured's policy.
  • Request copies of insurance cards and identification to confirm benefits.
  • Provide necessary documentation for Medicare patients, including completing required questionnaires.
  • Refer patients to the Patient Account Liaison for payment arrangements as needed.
  • Obtain all required signatures for consent and insurance benefit assignment forms.

Verification of Benefits and Pre-certification Coordination:

  • Verify insurance coverage by contacting insurance companies or using online eligibility systems.
  • Gather pre-certification information from insurance pre-certification units.

Patient Arrival Notification and Escort Coordination:

  • Notify the assigned unit of patient arrivals.
  • Prepare patient charts, ID bands, and labels for medical records.
  • Arrange for patient escorts to the assigned unit.

Professional Development and Departmental Effectiveness:

  • Complete additional job-related assignments as directed.

  • Complete mandatory education and annual competencies within designated timeframes.
  • Maintain licensure and certifications in good standing throughout the fiscal year.

  • Be available for overtime and additional shifts as required.

Qualifications
  • A Master's degree in Social Work, Psychology, or a related field is typically required, along with a minimum of two years of experience in conducting psychiatric assessments.

Skills and Knowledge

  • In-depth knowledge of procedures and techniques for treating the target patient population.
  • Strong communication and interpersonal skills, including verbal, written, and listening abilities.
  • Ability to prioritize and organize work effectively under pressure.
  • Proficient in utilizing appropriate resources.
  • Computer literacy and familiarity with various software programs.
