The Opportunity

We are seeking an experienced Senior Administrative Assistant to provide comprehensive support to our West Chester Site, including the R&D Operations, Facilities, and Non-Clinical Development departments. This critical role requires a skilled multitasker with exceptional organizational abilities, talent for managing complex projects independently, and excellent written and verbal communication skills.

  • Assist the Site Head in managing all aspects of the West Chester Site operations
  • Provide administrative and financial support to the R&D Operations, Facilities, and Non-Clinical Development departments
  • Handle purchase orders, reconciliations, and invoice reviews efficiently
  • Coordinate travel itineraries, requisitions, and expense report reconciliations
  • Manage MS Outlook (e.g., email, calendar), draft correspondence and presentations, and order supplies
  • Organize and manage internal meetings and site events, ensuring all logistics and materials are meticulously prepared
  • Handle confidential information with utmost discretion
  • Resolve routine and non-routine inquiries from the Site and functional departments through independent research and resource utilization
  • Collaborate with the Facilities department on new hire seat assignments, including email notifications
  • Manage all site announcements and maintain the Site Distribution list
  • Handle legal contracts (e.g., Engagemate and CDAs)
Your Experience and Qualifications

To be successful in this role, you will need:

  • 10+ years of administrative experience, with at least 5 years supporting senior management
  • Experience in a multi-national organization with calendar management across time zones and international travel management
  • Knowledge of basic finance processes
  • Advanced computer skills (MS Outlook, Teams, Word, Excel, PowerPoint)
  • Experience with Concur Travel and Expense, Internet/Intranet, and SharePoint
  • Ability to take ownership, prioritize tasks, anticipate needs, and handle multiple tasks under tight deadlines with minimal direction
  • High attention to detail, excellent organizational and planning skills, and ability to drive results
  • Strong interpersonal and communication skills for effective team collaboration and professional business communication
  • Flexibility to adjust schedule according to business demands
Salary and Benefits

We offer a competitive salary range of $80,000 - $110,000 per year, depending on experience, plus a comprehensive benefits package, including:
