We are seeking a highly skilled and experienced Executive Support Specialist to join our team.

Job Summary

The Executive Support Specialist will provide high-level administrative support to our senior leadership team. This role requires a high degree of flexibility, attention to detail, and the ability to manage confidential information with discretion.

Key Responsibilities
  • Manage and prioritize a high volume of internal and external communications, including mail, email, and other correspondence.
  • Coordinate logistics and prepare materials for meetings, calls, and events.
  • Schedule and manage calendars, ensuring seamless coordination with team members and stakeholders.
  • Prioritize meeting requests, proactively identifying and mitigating schedule conflicts.
  • Make travel arrangements, including itineraries, air and hotel accommodations.
  • Prepare and facilitate expense reports, ensuring timely approval from leadership.
  • Coordinate with the accounting team to request purchase orders and process invoices.
  • Perform additional administrative tasks as needed to support daily operations.
Requirements
  • 4-year degree or equivalent education, training, and experience.
  • Minimum 5 years of experience in an executive support role, preferably supporting senior leadership positions.
  • Excellent listening, organizational, and communication skills.
  • Ability to anticipate tasks and prioritize work effectively.
  • Self-motivation and ability to work with minimal supervision.
  • Advanced skills in Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to work well under pressure and adapt to changing priorities.
