Job Overview

Position Objective:

The individual in this role will play a crucial part in assisting the Sales Department. Responsibilities include providing customer assistance by supporting the Sales team. This position addresses sales-related inquiries, processes new orders, monitors order status, investigates issues, and aids in managing customer accounts. Administrative tasks, issue resolution, and data entry are key components of this role. The individual will be instrumental in managing Credits, Deductions, and updating relevant data within our systems. Collaboration with various internal departments such as Sales, Operations, Finance, Accounts Payable, and Accounts Receivable is essential to ensure that all Credits and Deductions are accurately processed with the necessary documentation to maintain accounts within established credit limits. The role also involves responding to queries and developing insights into customer and business needs to propose enhancements and boost efficiency.

Key Responsibilities:

  • Input, post, and manage sales orders while maintaining an organized spreadsheet in the system.
  • Oversee product allocation, verify pricing on invoices, and confirm shipment of orders.
  • Investigate and reconcile claims from customers and the sales team, along with account details.
  • Assist in resolving order rejections and navigating the claim approval process.
  • Serve as the primary contact within the designated region to manage customer credits, deductions, and pricing concerns in the appropriate systems.
  • Act as a liaison between the Corporate Sales office and various operational entities such as Distribution Centers and Production.
  • Collaborate with quality control to address any pending or potential issues.
  • Complete necessary administrative tasks as required.
  • Manage a high volume of email correspondence.
  • Prepare departmental reports as needed.
  • Participate in weekend coverage on a rotational basis as dictated by company requirements.
  • Engage in special projects as assigned.

Essential Qualifications:

  • High School Diploma or equivalent from an accredited institution.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Prior experience in customer service (including call handling and data entry).
  • Exceptional communication skills, both verbal and written.
  • Strong organizational and analytical capabilities.
  • Detail-oriented with the ability to manage multiple tasks simultaneously.
  • Ability to work independently with minimal supervision.
  • Possess strong deductive reasoning abilities.
