Job Summary

We are seeking a highly organized and detail-oriented Front Desk Coordinator to join our team at Spring Oaks Capital, LLC. As a key member of our administrative staff, you will provide exceptional support to our employees and visitors, ensuring a seamless and efficient experience.

Key Responsibilities
  • Welcome and direct all visitors and vendors, providing a warm and professional greeting.
  • Receive, sort, and distribute daily mail or deliveries, both incoming and outgoing, with accuracy and attention to detail.
  • Assist with new hire onboarding, including granting access to the building, creating employee badges, and organizing first-day luncheons.
  • Create and log employee badges, ensuring compliance with company policies.
  • Plan and coordinate company meetings and events, including off-site engagements, with precision and attention to detail.
  • Support various departments, including Operations and Compliance, with projects as needed, demonstrating flexibility and adaptability.
  • Answer, screen, and forward incoming phone calls, providing exceptional customer service.
  • Order and maintain office supplies, ensuring a well-stocked and organized workspace.
  • Update and maintain calendars for conference rooms, ensuring seamless scheduling.
  • Perform general office projects and duties as assigned, demonstrating a willingness to learn and adapt.
Requirements
  • High school diploma or equivalent.
  • Minimum 2 years of administrative or clerical experience.
  • Proficient in computer skills, especially MS Office (Word, Excel, Teams, and PowerPoint).
  • Excellent organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Able to multi-task and prioritize tasks without guidance.
  • Excellent customer service skills.
Preferred Qualifications
  • Associate degree or bachelor's degree.
  • Active Notary Commission.
