- Gathering and reporting employee leave requests, making recommendations for approval based on operational and production schedules.
- Maintaining up-to-date records of approved leave.
- Tracking employee milestones such as anniversaries.
- Keeping employee contact information current.
- Updating vendor contact details.
- Coordinating training sessions and ensuring all employees complete mandatory training.
- Onboarding new hires, managing employment documentation, scheduling orientation, and following up to ensure onboarding processes are completed.
- Processing changes in employment status and pay rates within the HR system.
- Providing administrative assistance and supporting recruitment efforts for performing artists.
- Arranging travel and itineraries for executive staff.
- Generating statistical reports from the HR system.
- Assisting with research projects as necessary.
- Managing facility maintenance requests and scheduling vendors for routine and emergency maintenance.
- Maintaining an updated inventory of equipment using the purchasing system.
- Ordering and managing organizational supplies through preferred vendors.
- Supporting the CEO and COO as required.
- Minimum of 2 years in an administrative role.
- Exceptional organizational skills and attention to detail.
- Strong communication abilities across various formats.
- Trustworthy and dependable, with the ability to handle confidential information.
- Responsive and prompt in communication.
- Able to work collaboratively within a team as well as independently.
- Self-motivated and proactive.
- Proficient in IT tools (Smartsheet, Google Docs, Word, Excel, HR software).
- Adaptable in approach.
- Must have reliable transportation.
