The Payroll Operations Leader is tasked with overseeing and managing all facets of payroll administration to guarantee precise and prompt remuneration of employees. ABOUT OUR FINANCE DEPARTMENT

The Finance and Grants Department at CSS plays a vital role in ensuring the financial stability and sustainability of the organization. This department focuses on accounting functions, including accurate financial recording, reporting, and compliance with relevant financial regulations, thereby supporting CSS's fiscal integrity. Additionally, the department engages in grants management, responsible for securing, tracking, and effectively utilizing grants to further CSS's mission of providing compassionate social services to those in need across Alaska. This dual focus on accounting and grants management ensures that CSS maintains transparent and accountable financial practices while maximizing the impact of grant funding.

KEY COMPETENCIES

Technical Proficiency: Demonstrates expertise in Microsoft Office, particularly Excel, utilizing these tools for effective data analysis and contributing to overall financial management success. Experience with financial management software is essential.

PRIMARY RESPONSIBILITIES

Payroll Management:

  • Oversee and execute bi-weekly payroll processes using payroll systems, ensuring accuracy and timeliness.
  • Calculate employee wages, overtime, bonuses, and other compensations while ensuring compliance with organizational policies and legal standards.
  • Verify payroll data, including new hires, terminations, salary adjustments, and garnishments.

Regulatory Compliance and Reporting:

  • Stay informed about federal, state, and local payroll regulations to ensure full compliance.
  • Prepare and submit payroll tax filings, including quarterly and annual reports.
  • Generate and distribute various payroll reports, including labor cost summaries and payroll registers.

Data Integrity Management:

  • Maintain accurate and current payroll records, ensuring data integrity in payroll and accounting systems.
  • Conduct regular audits to verify payroll data accuracy and resolve discrepancies.
  • Collaborate with HR to synchronize employee data, such as benefits and employment status.

System Expertise:

  • Utilize payroll systems for processing, reporting, and employee self-service functions.
  • Employ accounting systems for financial management, integrating payroll data for seamless reporting.
  • Provide training and support to staff on payroll and accounting system functionalities.

Reconciliation and Financial Analysis:

  • Conduct regular payroll reconciliations and analyze payroll data to support strategic financial planning.
  • Assist in month-end and year-end closing processes, ensuring accurate payroll-related financial statements.

Problem Resolution:

  • Investigate and resolve payroll discrepancies, coordinating with HR and management as necessary.
  • Deliver exceptional service to employees regarding payroll-related inquiries.
  • Implement best practices to enhance the accuracy and efficiency of payroll processing.

Confidentiality and Ethics:

  • Handle sensitive payroll information with the utmost integrity and discretion.
  • Adhere to organizational policies and ethical standards in all payroll activities.

ADDITIONAL DUTIES

  • Act as a backup for Accounts Payable and Accounts Receivable functions.
  • Perform other duties as assigned.

QUALIFICATIONS

Education: Bachelor’s degree in accounting or an associate degree in finance, business administration, or a related field. Four years of relevant experience may substitute for educational requirements.

Experience: A minimum of four years of finance experience is required.

A relevant combination of education and experience may be considered.

Certification as a Certified Payroll Professional (CPP) or similar credential is preferred.

WORK ENVIRONMENT

The work environment is primarily office-based. Physical demands may include occasional lifting of up to 25 pounds and prolonged periods of sitting or standing.
