The Fleet Operations Coordinator plays a crucial role within our operations team, emphasizing outstanding customer service and precise administrative support. This position requires a proactive individual who excels in customer interactions, collaborates effectively with internal teams, and pays close attention to detail.

Key Responsibilities:

What You Will Be Responsible For:

  • Delivering prompt and professional service through various communication channels, ensuring every customer interaction is characterized by friendliness and professionalism.
  • Maintaining a calm and composed demeanor, particularly in high-pressure situations.
  • Addressing customer inquiries with efficiency and courtesy.
  • Working closely with the Mechanic Shop Coordinator to oversee vehicle work orders, ensuring accurate communication regarding vehicle issues and repair costs.
  • Assisting in the timely updating of condition reports (CRs) after repairs, ensuring charges are processed and work orders are finalized.
  • Preparing and enhancing sale-day announcements, including updates on vehicle statuses and inspection fees.
  • Resolving customer complaints amicably and escalating significant issues to the Fleet Lease Manager.
  • Helping to organize fleet lease lanes for auction events.
  • Maintaining effective communication with the Fleet Lease Supervisor to ensure compliance with directives and schedules.
  • Coordinating supply and form orders with the Office Supervisor.
  • Representing absentee seller customers on Sale Day, managing transactions according to customer instructions.
  • Contributing to record-keeping for sales promotions and advertising efforts.
  • Suggesting enhancements in customer service and operational procedures to the Fleet Lease Supervisor.
  • Overseeing Fleet Lease Accounts to ensure adherence to sale plans and company policies, assisting with corrective actions as needed.
  • Monitoring compliance with customer contracts and supplier agreements.
Qualifications:

What You Will Need:

  • A High School diploma or GED, with at least 1 year of experience in a customer service-oriented role.
  • Previous clerical experience is highly valued.
  • Experience in an auction environment is preferred.
  • Strong typing, communication, and email skills.
  • Bilingual proficiency in Spanish and English is a plus.
