Job Overview

POSITION SUMMARY:

The role involves delivering a range of customer service tasks, including responding to inquiries, welcoming visitors, and providing essential information regarding services, procedures, facilities, reservations, program sign-ups, and fees. Responsibilities also encompass addressing customer issues, performing clerical and administrative tasks, collecting payments, managing facility operations, ensuring safety and security, and executing various duties related to Parks management and events.

KEY RESPONSIBILITIES:

When Assigned to Front Desk:

  • Deliver outstanding customer service by welcoming guests and addressing their inquiries.
  • Assist patrons with program registrations, community center memberships, fee collections, and reservation processes.
  • Handle incoming calls, directing them to the appropriate personnel and taking messages as necessary.
  • Sort and distribute mail to relevant departments.
  • Perform light typing and document preparation, including emails, orders, memos, and other business communications.

When Assigned to Facilities Oversight:

  • Responsible for the opening and closing of facilities, including scheduled events and rentals during evenings and weekends.
  • Monitor facility activities to maintain order and assist guests during events.
  • Set up and dismantle rooms and event spaces as required.
  • Ensure safety and security throughout the complex.
  • Conduct light maintenance to keep the facility clean and organized.
  • Support the Facility Coordinator with administrative tasks as needed.

When Assigned to Gatekeeping:

  • Provide exceptional customer service by greeting visitors and addressing their questions.
  • Manage telephone inquiries and route calls appropriately.
  • Handle reservations for campsites, pavilions, and event centers.
  • Input reservation details into the computerized booking system.
  • Manage financial transactions, including collecting and accounting for fees related to reservations and admissions.
  • Perform daily accounting functions, including deposits and recordkeeping.
  • Ensure safety and security at park access points.
  • Possess knowledge of regulations governing multi-use parks for both camping and day-use visitors.
  • Work independently with minimal supervision.

MINIMUM QUALIFICATIONS:

Education and Experience:

High School Diploma or GED, or equivalent experience.

Any combination of education, experience, or skills that meets the minimum qualifications.

Licenses and Certifications:

Valid Class C driver's license with a satisfactory Motor Vehicle Record (MVR).

Knowledge, Skills, and Abilities:

  • Proficient in general computer skills, including Microsoft Office and Parks-specific reservation software.
  • Ability to work evenings, weekends, and holidays as required.
  • Excellent customer service and telephone communication skills.
  • Ability to interact courteously and tactfully with the public and colleagues.
  • Skilled in operating a switchboard and managing multiple calls efficiently.
  • Clerical skills, including typing, filing, and recordkeeping.
  • Basic accounting skills for handling payments and maintaining financial records.
  • Knowledge of facility operations and security systems.
  • Strong problem-solving abilities.
  • Ability to work independently.

ADA Minimum Qualifications:

Physical Requirements: This position requires the ability to remain stationary for extended periods, operate office equipment, and perform tasks that involve moving about the facility and lifting items up to 20 lbs. Candidates must be able to handle stress, concentrate on tasks, and interact effectively with others.

Sensory Requirements: Effective verbal and written communication skills are essential, along with hand-eye coordination for operating equipment.

Environmental Factors: The role requires the ability to work collaboratively with others or independently.
