Job Overview

POSITION SUMMARY:

The role involves delivering a range of customer service functions, including responding to inquiries, welcoming guests, and providing assistance related to services, procedures, and facilities. Responsibilities also encompass clerical and light administrative tasks, fee collection, facility management, event setup and teardown, ensuring safety and security, and other duties pertinent to Parks operations and events.

KEY RESPONSIBILITIES:

When Assigned to Front Desk:

  • Deliver outstanding customer service by welcoming visitors and addressing their inquiries.
  • Assist patrons with program registrations, community center memberships, fee processing, and reservations.
  • Manage incoming calls and direct them to the appropriate personnel, taking messages as necessary.
  • Handle incoming mail and distribute it accordingly.
  • Perform light typing and document preparation, including emails, orders, and memos.

When Assigned to Facilities Oversight:

  • Responsible for the opening and closing of the facility, including scheduled events and rentals.
  • Monitor the facility to maintain order and safety.
  • Prepare rooms and areas for events as per customer requirements.
  • Provide assistance and customer service during events.
  • Ensure the complex is well-maintained and orderly.
  • Support the Facility Coordinator with administrative tasks as needed.

When Assigned to Gatekeeping:

  • Deliver exceptional customer service by greeting guests and addressing their inquiries.
  • Manage phone calls and direct them appropriately, taking messages when required.
  • Handle reservations for campsites, pavilions, and event centers.
  • Input reservation details into the computerized reservation system.
  • Manage monetary transactions, including fees for reservations and general admissions, using cash registers and card processing systems.
  • Perform accounting tasks such as daily deposits and recordkeeping for rentals and reservations.
  • Monitor park access to ensure safety and security.
  • Possess knowledge of regulations for a multi-use park accommodating both camping and day-use visitors.
  • Work independently with minimal supervision.

MINIMUM QUALIFICATIONS:

Education and Experience:

High School Diploma or GED, or equivalent experience.

Any combination of education, experience, or skills that meets the minimum qualifications.

Licenses and Certifications:

Valid Class C driver's license with a satisfactory Motor Vehicle Record (MVR).

Knowledge, Skills, and Abilities:

  • Proficient in general computer skills, including Microsoft Office and reservation software.
  • Ability to work evenings, weekends, and holidays.
  • Strong customer service and telephone communication skills.
  • Ability to interact courteously and tactfully with the public and colleagues.
  • Skilled in operating a switchboard and managing multiple calls efficiently.
  • Clerical skills including typing, filing, and recordkeeping.
  • Basic accounting skills for handling transactions and recordkeeping.
  • Knowledge of building security and maintenance.
  • Effective problem-solving abilities.
  • Capacity to work independently.

ADA Minimum Qualifications:

Physical Ability: The essential functions of this position require the ability to remain stationary, operate office machinery, and perform tasks that involve physical movement, including lifting items up to 20 lbs.

Sensory Requirements: The role requires effective verbal and written communication and the ability to coordinate hand and eye movements.

Environmental Factors: The position involves working collaboratively with others or independently.
