The ideal candidate will be dependable, diligent, and capable of managing multiple responsibilities while providing outstanding service to both visitors and team members.

Key Responsibilities

  • Warmly greet guests upon arrival and promptly inform the relevant team member.
  • Maintain professional and courteous relationships with guests, executive team, colleagues, and vendors, ensuring a high level of customer service.
  • Assist the Director of Operations with troubleshooting and resolving technical issues related to office equipment.
  • Order and manage office supplies and resources as necessary.
  • Act as the primary contact for incoming and outgoing shipments, ensuring proper logging and labeling.
  • Coordinate all external client meetings, including catering arrangements and the setup and cleanup of conference rooms.
  • Support compliance with current processes and procedures, including health and safety protocols.
  • Ensure staff are trained on all office tools and equipment, collaborating with the Tech Support team.
  • Oversee the daily opening and closing of the office, including charging equipment and tidying conference rooms.
  • Contribute to the annual budgeting for office supplies and events.
  • Collaborate with the Director of Operations to streamline office procedures.
  • Assist in planning and executing internal events, such as company outings and gatherings.
  • Organize and manage the inventory of company merchandise.
  • Work with the HR team to onboard new employees, including setting up workstations and providing necessary resources.
  • Arrange meetings, transportation, and travel for leadership as required.
  • Participate in ad-hoc projects as needed.

Qualifications

  • Exceptional customer service skills, preferably with a background in retail or hospitality.
  • Strong organizational and project management abilities.
  • Professional communication skills, both written and verbal.
  • Proficiency in Apple products and G-Suite applications.
