Clerical Associate III

Job Summary
The City of New York is seeking a highly organized and detail-oriented Clerical Associate III to function as a Unit Clerk in the HIV/AIDS Services Administration (HASA) at the Amsterdam Center. As a Unit Clerk, you will be responsible for providing administrative support to the unit, including receiving and directing visitors, maintaining records, and providing telephone coverage.
Key Responsibilities
- Receive, screen, and direct visitors to agency offices, providing information and referring them to appropriate staff through an electronic Queuing and Routing system.
- Maintain systems of records, entering, retrieving, and transferring data into the Welfare Management and Paperless Office Systems to ensure usability and timeliness of complete and accurate records.
- Provide telephone coverage, taking messages, transferring calls, and maintaining a log of incoming calls to facilitate communication between staff and applicants/consumers.
- Prepare correspondence following specific format, asking for clarification where needed, to produce complete and accurate correspondence.
- Manage the efficient receipt, screening, sorting, and logging of incoming mail, forwarding mailings to the Unit Supervisor and caseworkers appropriately.
- Contact Caseworkers and/or the Unit Supervisors to obtain missing information or confirm illegible information on authorization forms to ensure accuracy and check records to ensure conformity with established Unit's policies and procedures.
- Maintain a log of the Unit's inventory of office supplies to ensure timely requisition.
Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience. Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
