ABOUT THE ROLE

The Brand and Communications Coordinator will play a crucial role in supporting the Brand and Creative Team alongside the Strategic Communications department. Responsibilities include organizing meetings, preparing and drafting materials, managing internal and external communications, tracking media coverage, and overseeing the team's calendars and information sharing. The ideal candidate will possess coordination experience with a keen interest in communications and marketing, along with knowledge of content creation, project management, budgeting, and general administrative tasks.

This is a full-time position, reporting directly to the heads of the Brand + Creative and Strategic Communications teams, with flexible work options available.

KEY RESPONSIBILITIES

  • Provide comprehensive administrative support to the leaders of the Brand + Creative and Strategic Communications teams, including managing schedules, drafting materials, tracking expenses, and arranging travel as necessary.
  • Assist team members with internal communications, social media planning, event coordination, stakeholder engagement, research, and other project-related support as required.
  • Facilitate technical and logistical support for all-staff meetings and other internal events.
  • Draft communication materials for senior leadership review, including presentations, project summaries, internal communications, pitch decks, and related documentation.
  • Assist with budget and finance management, including processing expenses, invoices, and budget reports.
  • Support procurement and legal processes by coordinating contracts with the legal team, tracking progress, and ensuring proper distribution.
  • Organize meetings, prepare materials and agendas, summarize and distribute notes, and follow up on action items.
  • Ensure that all team plans, projects, and internal reporting deadlines are adhered to.
  • Manage internal media monitoring and provide weekly reports.
  • Coordinate the evaluation and measurement of various projects and objectives with guidance from team leads.
  • Research communication trends and insights to inform strategy.
  • Perform additional duties as assigned.

QUALIFICATIONS

  • Bachelor's degree in communications or marketing is preferred.
  • Minimum of 2 years of experience in team coordination.
  • Exceptional written and verbal communication skills.
  • Proactive and solution-oriented mindset.
  • Strong organizational abilities.
  • Capability to manage multiple priorities under tight deadlines in a dynamic, collaborative environment.
  • Understanding of effective project management principles.
  • Experience in administration, project coordination, and budget oversight.
  • Proficiency in calendar management.
  • Experience collaborating with colleagues and external stakeholders.
  • Familiarity with communications and content development processes.

  • Experience in an international organization is preferred.
  • High proficiency in Microsoft Office Suite, Google Suite, and media monitoring tools.
  • Experience with project management software such as Asana is a plus.
  • Authorization to work in the U.S. is required.

WORK ENVIRONMENT

This position offers a flexible work arrangement, combining in-office and remote work options.

COMPENSATION RANGE:

$43,000 - $55,000 per year

This salary range reflects the minimum to the midpoint of the external market salary range adopted for this job level. The specific salary for a new hire will depend on various factors, including budget availability.
