Reporting To: Executive Pastor

Position Summary: The role of the Administrative Assistant is designed to deliver high-level administrative support to the various ministry departments within Victory Church. This individual will manage daily clerical tasks, administrative responsibilities, and other office functions. They will serve as a representative of the Lead Team to both staff and congregation, effectively communicating the essence and intent of decisions in a professional and empathetic manner. A key aspect of this role involves exercising discretion and independent judgment on significant matters.

Key Skills: Exceptional communication abilities, meticulous attention to detail, and the capacity to juggle multiple priorities are vital for thriving in this dynamic and fast-paced environment. Team members are expected to embody a passion for ministry, a proactive attitude, and a commitment to excellence. Successful candidates will be self-motivated, capable of working autonomously as well as collaboratively to achieve overarching goals.

Qualifications:

  • High school diploma or GED (preferred: college degree)
  • At least 2 years of experience in an administrative role
  • Proficient in Mac applications, Church Community Builder, Basecamp, etc.
  • Detail-oriented with advanced writing and grammar capabilities
  • Strong verbal, phone, and interpersonal communication skills
  • Positive, patient, friendly, and professional demeanor
  • Trustworthy, able to anticipate needs independently, and focused on task completion
  • Must align with and represent Victory Church's Statement of Faith

Responsibilities:

  • Assist with processing expense reports, check requests, deposits, and other administrative functions.
  • Oversee the church calendar.
  • Coordinate travel arrangements for pastoral staff as necessary.
  • Help plan and execute special events, including resource preparation, setup/teardown, promotion, registration, and follow-up.
  • Manage the Church Community Builder database.
  • Occasionally oversee the reception desk.
  • Actively participate in church activities by attending services, small groups, and other events.
  • Handle weekly shopping for departmental, event, and office needs.
  • Manage the weekly assimilation process for first-time guests.
  • Maintain spreadsheets to track attendance for services and special events.
  • Complete assigned tasks in the Church Community Builder.
  • Prepare and maintain volunteer manuals and job descriptions.
  • Assist with scheduling volunteers for Sunday and Wednesday services and other events.
  • Communicate with volunteer team leaders as needed to ensure objectives are met.
  • Order food for meetings and special events as required.
  • Perform additional duties as needed to support the Pastoral Leadership Team.
