Job Overview

The Receivables Operations Supervisor is responsible for overseeing a team dedicated to the management and control of the receivables and collection processes. This role is crucial in ensuring a robust receivables portfolio, enhancing cash flow, reducing bad debts, and supporting the overall objectives of the organization. The supervisor acts as a key point of contact with various departments and management regarding inquiries related to client billing and overdue accounts. Additionally, this position entails conducting monthly bank reconciliations, managing fixed asset accounting, and preparing sales/use tax returns as well as annual property tax filings.

Key Responsibilities:

Team Leadership
  • Establishes a departmental structure that aligns with organizational goals and objectives.
  • Motivates and develops the accounts receivable team through continuous training and support.
  • Evaluates team performance using relevant metrics.
  • Maintains relationships with collection and credit reporting agencies.
  • Collaborates with the sales department to ensure seamless operations.
  • Fosters banking relationships to support financial activities.
Receivables Management
  • Ensures timely collection of receivables.
  • Processes customer payments and applies credit memos accurately.
  • Inputs invoices into customer invoicing platforms.
  • Communicates with clients regarding overdue accounts and identifies reasons for non-payment; issues credit hold notifications as necessary.
  • Records cash receipts and manages bank deposits.
  • Maintains the corporate credit policy and oversees the credit granting process.
  • Administers customer credit files, ensuring up-to-date information is recorded.
  • Submits uncollectible accounts to collection agencies.
  • Recommends write-offs for bad debts.
  • Investigates significant customer credit applications personally.
  • Maintains accurate records of customer payment statuses.
  • Visits major clients to strengthen relationships.
  • Conducts periodic credit reviews.
  • Monitors customer deductions and manages late fee applications.
  • Performs monthly reconciliations of accounts receivable to the general ledger.
Cash Management
  • Tracks daily cash activities and accounts for all non-customer cash receipts.
  • Conducts monthly reconciliations of checking and savings accounts.
  • Manages petty cash funds effectively.
Fixed Asset Oversight
  • Develops and maintains a system for recording fixed assets.
  • Assigns identification numbers to fixed assets.
  • Records acquisitions and disposals of fixed assets in the accounting system.
  • Reconciles the fixed asset subsidiary ledger with the general ledger.
  • Calculates depreciation for all fixed assets.
  • Updates the detailed schedule of fixed assets and accumulated depreciation.
  • Assesses potential obsolescence of fixed assets.
  • Conducts periodic physical inventory counts of fixed assets.
  • Prepares property tax returns and represents the company during audits related to fixed assets.
Sales & Use Tax Compliance
  • Collects sales tax from customers and prepares monthly sales and use tax returns.
  • Ensures sales tax exemption certificates are properly filed.
  • Maintains compliance with sales and use tax regulations across jurisdictions.
  • Represents the company during audits related to sales/use tax.
Additional Responsibilities
  • Oversees month-end closing processes related to accounts receivable, fixed assets, and sales tax.
  • Prepares audit schedules and assists auditors with inquiries.
  • Reports on departmental processing metrics and key performance indicators.
  • Communicates effectively with internal and external stakeholders.
  • Identifies opportunities for process enhancements and compliance improvements.
  • Participates in special projects and ad-hoc reporting as needed.
  • Ensures adherence to company policies, accounting principles, and regulatory standards.
Preferred Qualifications:
  • Bachelor's degree in Accounting or Finance.
  • Comprehensive knowledge of credit-related regulations.
  • 10+ years of progressive accounting experience.
  • Preference for candidates with CPA or CMA certifications.
Required Qualifications:
  • 5+ years of experience in credit, accounts receivable, and accounting.
  • Experience in a multi-location organization managing numerous customer accounts and cash flow.
  • Proven project management and process improvement skills.
  • Experience with general ledger reconciliations and month-end closing processes.
  • Proficiency in Microsoft Office Suite.
  • Experience with sales/use tax filings.
  • Strong organizational, planning, and problem-solving abilities.
  • Effective verbal and written communication skills.
  • A team-oriented mindset with attention to detail.
Work Environment:

This position primarily operates in an office setting, with occasional travel required to various company branches.
