Job Summary

The Ambulatory Practice Coordinator I is a vital member of the University of Maryland Medical System team, responsible for providing exceptional patient care coordination and administrative support in a fast-paced ambulatory setting.

Key Responsibilities
  1. Patient Scheduling and Coordination: Assist in scheduling appointments, managing patient flow, and ensuring timely and efficient care delivery.
  2. Registration and Insurance Verification: Accurately collect and verify patient demographic and insurance information, ensuring compliance with practice and UMMS policies.
  3. Referral and Authorization Management: Coordinate referrals, obtain necessary authorizations, and document patient information in the EMR system.
  4. Facility Fee Disclosure and Patient Education: Provide patients with clear information regarding facility fees, estimated charges, and relevant insurance details.
  5. After-Visit Summaries and Patient Communication: Prepare and distribute after-visit summaries, inform patients of upcoming appointments, and ensure timely communication of important information.
  6. Office Operations and Supply Management: Assist with office supply tracking, ordering, and maintenance, ensuring a well-organized and efficient work environment.
  7. Phone and Software Management: Utilize multi-line phone systems and software to handle internal and external calls, scheduling, and documentation.
  8. Participation in Surveys and Quality Initiatives: Participate in mock, regulatory, and accreditation surveys, ensuring compliance with hospital and departmental policies.
  9. Clerical and Administrative Support: Perform routine clerical duties, including photocopying, filing, faxing, and maintaining records.
Qualifications
  1. Education and Experience: High School Diploma or equivalent (GED) required; experience in a healthcare setting preferred but not required.
Knowledge, Skills, and Abilities
  1. Insurance Knowledge: Demonstrates understanding of various insurance coverage, including Medicaid, HMOs, and UMMS insurance partners.
  2. Effective Communication: Possesses excellent verbal, written, and interpersonal skills to effectively communicate with medical staff, colleagues, patients, and visitors.
  3. Problem-Solving and Resourcefulness: Utilizes resourcefulness and problem-solving skills to handle telephone and in-person inquiries, resolve patient scheduling issues, and maintain a high level of customer service.
  4. Independence and Stress Management: Works independently, responds effectively under stress, and prioritizes tasks to manage multiple responsibilities.
  5. Patient Safety and Confidentiality: Ensures patient safety and confidentiality in the performance of job functions, adhering to hospital and departmental policies and HIPAA guidelines.
