Executive Assistant to the Penn Presbyterian Medical Center Executive Team

Job Summary: We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the Penn Presbyterian Medical Center Executive team.

Key Responsibilities:

  • Coordinate all calendar scheduling and ensure all logistics are complete.
  • Provide background material and documentation for meetings.
  • Review and prioritize correspondence and documents, and distribute as appropriate.
  • Conduct research and provide administrative support for special projects.
  • Prepare data and provide follow-up as needed.
  • Attend and facilitate meetings, including recording meeting minutes as requested by the executive team.
  • Participate on committees as requested.
  • Draft and edit PowerPoint presentations, scripts, talking points, leadership messages, and other communications as directed by the Executive.
  • Collect and compile data, and other materials for reports, budgets, correspondence, charts, etc.
  • Collate and assemble reports and documents.
  • Plan, edit, and write content for internal communications mediums, such as a staff intranet, newsletters, or regular email bulletin.
  • Make travel arrangements and prepare travel advance and expense reports, reconciling travel documents.

Requirements:

  • High School Diploma/GED.
  • 5+ years of experience supporting C-Level Executives, preferably in a non-profit organization.
  • Preferred: Bachelor of Arts or Science and 2+ years of experience supporting C-Level Executives, preferably in a non-profit organization.
  • Associate's Degree and 3+ years of experience supporting C-Level Executives, preferably in a non-profit organization.
