Executive Support Specialist for Senior Leadership

As an Executive Support Specialist for Senior Leadership, you will provide high-level administrative support to two C-Level Executives at a Global Non-Profit organization focused on Green Energy. This role involves scheduling and organizing extensive internal and external meetings, conference/video calls, events/conferences, and appointments. You will create agendas, prepare and distribute meeting materials, and manage and maintain busy and ever-changing calendars.
You will also coordinate complex domestic and international travel arrangements and detailed itineraries, including flights, hotel accommodations, car services/ground transportation, and visas. Additionally, you will prepare, process, and submit expense reports.
This role requires strong global project management and team coordination experience. You will liaise with team members to follow up on tasks, deadlines, timelines, and troubleshoot accordingly. You will also assist with ad hoc projects as needed.
","Key Qualifications": "- Minimum 5-10+ years of C-Level executive administrative experience, ideally working for a philanthropic/not for profit organization, government agency/entity, and/or for-profit corporation.
- Strong global project management and team coordination experience.
- Bachelor's degree strongly preferred/required.
- Extremely polished, forward-facing, and professional.
- Excellent interpersonal and communication skills (both verbal and written).
- Accustomed to working in a fast-paced environment.
- Excellent problem-solving abilities; good at collaborating; solutions oriented.
- Ability to have "finger on the pulse" and being aware of where everyone is and what is happening at all times.
- Comfortable working with all levels of an organization.
- Salary depends on experience (base pay plus paid overtime after 35 hours).
