Job Summary

We are seeking an experienced Executive Administrative Support Specialist to join our team. This role will provide critical support to the CEO of our Digital Banking business, ensuring seamless execution of executive administrative tasks in a fast-paced environment.

Key Responsibilities
  • Calendar Management: Independently manage calendars, schedule appointments, review invitees, collect materials, and prepare executives for meetings.
  • Travel Arrangements: Arrange complex and detailed travel plans, compile documents for travel-related meetings, and track expense reports.
  • Event Planning: Coordinate programs, events, or conferences by arranging facilities, catering, issuing information or invitations, coordinating speakers, and controlling event budgets.
  • Communication: Assist in responding to incoming calls and correspondence (email and postal mail) independently when appropriate, and follow up on action items with direct reports on behalf of reporting managers as required.
Requirements & Qualifications
  • 8+ years' experience in an administrative support or similar role required.
  • Expert knowledge of MS Outlook, Word, and Excel.
  • Proficiency in PowerPoint, with experience creating and formatting professional presentations and basic slide decks.
  • Detail-oriented, with the ability to plan, prioritize, and execute multiple concurrent activities.
  • Excellent communication skills, both oral and written, with a clear, professional, and pleasant manner.
  • Able to handle frequent interruptions and changes in priorities.
  • Strong planning and organizing skills, with the ability to perform multiple tasks and make decisions independently.
  • Self-motivated, with the ability to take the initiative to complete assignments/projects without instruction.
  • Ability to work effectively across organizational and functional lines.
